We are seeking a detail-oriented and proactive Procurement and Operations Coordinator to join our dynamic Operations team. In this role, you will process and issue company purchase orders using enterprise software systems, ensuring accuracy and efficiency in all transactions. You will collaborate closely with vendors to negotiate prices, terms, and delivery schedules, fostering strong relationships to support operational needs. Additionally, you will act as Training Coordinator, managing sessions, tracking participation, and maintaining accurate documentation to ensure compliance with organizational standards. You will also provide logistics support for seamless material and product movement, including obtaining shipping quotes for customer orders and coordinating deliveries, while assisting with ad-hoc operational tasks to support team objectives. The ideal candidate is a problem-solver with excellent communication skills, and the ability to thrive in a fast-paced environment.

Responsibilities

  • Process employee purchase requests and enter purchase orders using enterprise software systems, ensuring accuracy and efficiency.
  • Build and maintain vendor relationships, negotiating prices, terms, and delivery schedules to support operational needs.
  • Manage approved vendors list, vetting new suppliers, and collaborate with internal departments for material sourcing.
  • Act as Training Coordinator, collaborating with Professional Services and Training teams to manage class registrations, process payments, collect rosters, and maintain training databases.
  • Coordinate logistics for material and product movements, securing shipping quotes for customer orders and arranging pick-ups and deliveries.
  • Track and report on procurement and logistics activities to ensure alignment with budgets and schedules.
  • Engage with internal stakeholders and customers to resolve inquiries related to orders, shipments, or training schedules.
  • Support team objectives by addressing diverse operational tasks as needed, demonstrating flexibility and strong organizational skills.
  • Identify and implement opportunities to enhance procurement, logistics, or training processes, driving operational efficiency.
  • Ensure procurement and logistics activities comply with organizational policies and industry regulations.
  • Collaborate with finance and operations teams to align procurement and logistics with organizational goals.

Qualifications

  • 1-3 years of experience in a business support role, preferably in procurement, logistics, or operations.
  • Strong interpersonal, organizational, and attention-to-detail skills.
  • Customer service experience, including handling inquiries from vendors or internal stakeholders.
  • Proficiency in Microsoft Office Suite (e.g., Excel, Word, Outlook, Teams).
  • Experience with data entry, purchasing, or logistics processes is preferred.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage daily workflows, and proactively resolve requests and issues within a team environment.
  • Experience with training program administration or coordination is a plus.
  • Familiarity with ERP systems (e.g., Oracle, SAP) or a willingness to learn enterprise software.
  • Ability to occasionally lift and/or move up to 25 pounds.

 

Education/Experience 

  • Bachelor’s Degree in Business Administration, Supply Chain Management, or a related field preferred, or equivalent experience.

 

Clearance: 

Active DoD clearance or ability to obtain a secret level DoD clearance
